Overview
We provide sorting, distribution, and pick-up of all inter-departmental mail and all standard Canada Post mail and parcels for KPU through campus mailrooms. These services are free of charge to faculty and staff.
Please note that our services are for University business only. Personal items that are not for KPU use should not be delivered to the University.
Internal Mail
We will pick up your internal mail from your campus mail room and deliver the item the following business day.
Internal Delivery Address Requirements
Delivery addresses are unique to each individual and must contain the recipient’s name, department, campus, building and room #. This information can be found in the KPU Directory.

Internal Mail packaging and labelling procedures to ensure timely delivery

Please include Name, Department, Campus and Room # on ALL envelopes and/or packages.

Remove or cross out any old labelling when packaging in used boxes.

Improperly addressed mail may be returned to sender or misplaced.

Please make every effort to confirm Campus, Department and Room Number.

To be used by Kwantlen employees for official Kwantlen business only.

Access to mail rooms is restricted to Kwantlen employee's.

Items other than mail/parcels will not be sent by Inter-Campus Courier.

Individuals and departments with mailboxes are encouraged to pick up mail as frequently as possible.

Senders should minimize demand placed on the internal mail system by, whenever possible:

using electronic mail (voice mail, or e-mail).

using bulletin boards in mail rooms and other locations around the University in place of mass mailings.

Incoming Mail
We receive, sort, and provide secure transportation of mail received by Canada Post and couriers to the recipient’s designated campus mail room location as per package labelling.

Outgoing Mail
We will pick up your outgoing mail from your campus mail room location. We apply Canada Post postage via an automated postage machine. Your department’s 4-digit organization code must be written on or attached to your mail in order for the postage to be applied.
All mail being addressed to off-campus recipients must comply with the addressing guidelines of Canada Post. These can be found on Canada Post’s website.
How to Prepare Outgoing Mail for Canada Post

Please fold down the flaps (behind each individual envelope) of #10 and any size envelope under 6.5" x 9.5" envelopes.

Larger than 9" x 12" envelopes, please pre-seal.

Please separate US, and overseas mail from domestic.
Did you know that you can cut postage costs by using the correct size envelope for your correspondence? (call Mailroom Services for more information).
Bulk Mail-Outs
Please give us as much notice as possible of bulk mail-outs. We may qualify for a 40% reduction in postal charges on mail-outs greater than 1,000. (Please contact Mailroom Services for more information on bulk mailings).

Inter-Campus Mail Delivery Schedule:

Inter-Campus deliveries are done daily to Richmond, Cloverdale, Langley & Surrey between 9am-1pm.

Inter-Campus deliveries to Civic Plaza are done on an as needed basis.

Place mail for Civic Plaza in the Surrey bin for sorting at Surrey Campus Mail Distribution Centre.

Mail delivery and mail pickup to & from the Campus Mailroom, Bookstore and Library.

KPU Surrey - daily every morning and afternoon.

KPU Richmond – daily between 9:30am-10:00am

KPU Tech – daily between 10am-11:00am

KPU Langley – daily between 11am-12:00pm

KPU Civic Plaza - as needed (place civic plaza mail in the Surrey bin for distribution to civic plaza).
